Manage Teams
Teams group users, define expense scope, support approval assignments, and connect budgets.
Access requirements
- View Teams (
setting.team.view) shows the menu, team list, team details, and membership list in read-only mode. - Manage Teams (
setting.team.manage) includes view access and enables creating or editing teams and adding, updating, or removing members.
Create a team
This action requires Manage Teams.
- Open Settings > Manage Teams.
- Select New Team.
- Enter the team name.
- Enter a short team code.
- Add a description if needed.
- Set the appropriate status.
- Select Save Team, then confirm the creation.
Use a short, unique code that is easy to recognize in expenses and reports.
Add members
- Open a team from the list.
- Select Manage Members or Add Members.
- Search for users.
- Select one or more users.
- Choose each member's role within the team.
- Mark the membership as primary if this is the user's main team.
- Confirm the addition.
A user can belong to more than one team. A primary team identifies the user's main working context.
Manage members
From the team details, you can:
- change a member's team role;
- change the primary membership designation;
- remove a member from the team;
- search and browse members.
Removing a team member does not delete the user's account.
Update or deactivate a team
- Open the team details.
- Select Edit Team.
- Update the name, code, description, or status.
- Save and confirm the changes.
Before deactivating a team, check any expenses, budgets, approval templates, and reports that still use it.
View My Teams
My Teams is available to all users as a read-only view.
- Open My Teams.
- Select a team to view its details.
- Review the members, membership type, and your team role.
- Review team budgets, including effective allocation, committed, actual, available, and utilization percentage.
