Payment Methods
Payment methods define how a transaction was paid and whether it can enter the reimbursement process.
Funding sources
Select one funding source when creating a payment method:
- Employee-funded: paid by the employee and eligible for disbursement.
- Company-funded: paid directly by the company.
- Non-reimbursable: not processed as a reimbursement.
- Unconfigured: a temporary choice until the funding source is determined.
The funding source directly affects disbursement eligibility.
Create a payment method
- Open Expense Setup > Payment Methods.
- Select New Method.
- Enter the method name.
- Add a description if needed.
- Select the funding source.
- Set the status.
- Select Save Changes.
Examples include Cash, Bank Transfer, Corporate Card, Personal Card, and E-Wallet.
Update a payment method
- Find the method in the list.
- Select Edit.
- Update the name, description, funding source, or status.
- Save the changes.
Before changing a widely used funding source, review its effect on disbursement eligibility.
Archive a payment method
Archive a method that should no longer be available for new transactions. Existing expense history retains the payment method originally selected.
