Approval

The Approval menu shows expenses waiting for your decision and the progress of expenses moving through approval workflows.

Find a request

  1. Open Approval.
  2. Search by title, user, or transaction reference.
  3. Use status filters and sorting to prioritize your work.
  4. Use Detail to open a request without triggering an action from the row.

Select pending requests with their checkboxes to approve or reject several requests. Selection remains available while moving between pages, and resets when the search, filter, sort, or page size changes.

Review a request

Before making a decision, check:

  • the transaction information and expense owner;
  • vendor, date, category, and payment method;
  • items, amounts, tax, and total;
  • attachments;
  • approval progress and history;
  • any possible duplicate indicator.

If a duplicate review is unresolved, complete that review first. Approval actions may remain unavailable until the duplicate status is resolved.

Bulk approval processes eligible requests and leaves blocked or stale requests selected for review. A request with an unresolved or confirmed duplicate can still be rejected, but it cannot be approved.

Approve a request

  1. Make sure the information and transaction evidence are appropriate.
  2. Select Approve.
  3. Add a reason or note if needed.
  4. Confirm the decision.

The request moves to the next approver or is completed if you are on the final step.

Reject a request

  1. Select Reject.
  2. Enter a rejection reason. This is required so the expense owner knows what action is needed.
  3. Confirm the decision.

Understand progress

  • Waiting: cannot be processed until an earlier step is completed.
  • Pending: waiting for an approver's decision.
  • Approved: the step has been approved.
  • Rejected: the request was rejected.
  • Skipped: the step was skipped according to the applicable rule.

Make decisions from your own account so the approval history remains clear.
