Budgets
Use Budgets to set spending limits, monitor utilization, and keep expenses aligned with company policy.
Configure budget policy
Before creating the first budget:
- Open Budgets > Budget Settings.
- Select the fiscal year starting month.
- Set the fiscal month starting day.
- Set the default warning percentage.
- Choose what happens when a budget is exceeded:
- Warning allows the process to continue with a warning;
- Block holds transactions that exceed the limit.
- Save the settings.
Company information must be completed before budget settings can be used.
Create a budget
- Open Budgets and select New budget.
- Enter a name and description.
- Select a monthly, quarterly, yearly, or custom period.
- Set the start and end dates.
- Select the team and/or category scope.
- Enter the initial allocation.
- Set the warning threshold.
- Save the budget as a draft.
Avoid overlapping periods, teams, and categories unless the overlap serves a clear purpose.
Activate and monitor a budget
- Check the period, scope, and allocation on the draft budget.
- Select Activate.
- Monitor:
- Actual for realized expenses;
- Committed for amounts tied to ongoing processes;
- Available for the amount still available to spend.
- Review warning indicators as utilization approaches the threshold.
Adjust the allocation
- Open an active budget.
- Select Adjust.
- Enter the amount to add or subtract.
- Enter the reason for the adjustment.
- Confirm the change.
Each adjustment is appended to the history and does not replace earlier records.
Close, renew, and archive
- Select Close after the period ends or the budget is no longer in use.
- Select Renew to create a draft for the next period. Scope and currency are copied, while the old balance and activity remain in the previous period.
- Select Archive for a draft or closed budget that should no longer appear in the main list.
Use the history tabs to review adjustments and expense activity.
