Budgets

Use Budgets to set spending limits, monitor utilization, and keep expenses aligned with company policy.

Configure budget policy

Before creating the first budget:

  1. Open Budgets > Budget Settings.
  2. Select the fiscal year starting month.
  3. Set the fiscal month starting day.
  4. Set the default warning percentage.
  5. Choose what happens when a budget is exceeded:
    • Warning allows the process to continue with a warning;
    • Block holds transactions that exceed the limit.
  6. Save the settings.

Company information must be completed before budget settings can be used.

Create a budget

  1. Open Budgets and select New budget.
  2. Enter a name and description.
  3. Select a monthly, quarterly, yearly, or custom period.
  4. Set the start and end dates.
  5. Select the team and/or category scope.
  6. Enter the initial allocation.
  7. Set the warning threshold.
  8. Save the budget as a draft.

Avoid overlapping periods, teams, and categories unless the overlap serves a clear purpose.

Activate and monitor a budget

  1. Check the period, scope, and allocation on the draft budget.
  2. Select Activate.
  3. Monitor:
    • Actual for realized expenses;
    • Committed for amounts tied to ongoing processes;
    • Available for the amount still available to spend.
  4. Review warning indicators as utilization approaches the threshold.

Adjust the allocation

  1. Open an active budget.
  2. Select Adjust.
  3. Enter the amount to add or subtract.
  4. Enter the reason for the adjustment.
  5. Confirm the change.

Each adjustment is appended to the history and does not replace earlier records.

Close, renew, and archive

  • Select Close after the period ends or the budget is no longer in use.
  • Select Renew to create a draft for the next period. Scope and currency are copied, while the old balance and activity remain in the previous period.
  • Select Archive for a draft or closed budget that should no longer appear in the main list.

Use the history tabs to review adjustments and expense activity.
